Terms & Conditions
The terms that apply to every vehicle rental and guided tour booked through Hodophile Ethiopia — self-drive, with a chauffeur, or on a tour itinerary.
Please read these Terms and Conditions ("Agreement") carefully before booking or utilizing the vehicle rental and guided tour services provided on our website. By making a reservation or signing a rental or tour agreement, you agree to be bound by these general terms.
Scope
This Agreement applies to all vehicle rental services and guided tour services booked through this website. Vehicle rentals may be with or without a professional driver (Parts B and C); guided tours are covered by Part D, together with the general terms in this Part A.
Cancellation & No-Show Policy
- 72+ hours before pick-up or tour departure: Full refund.
- Less than 72 hours before pick-up or tour departure: A cancellation fee applies.
- No-shows: Forfeit the full booking amount.
Force Majeure & Liability Limits
The company acts in good faith to provide all vehicles and tour services on time. However, the company shall not be held liable for any failure to perform or for delays resulting from acts of God, extreme weather, sudden mechanical failure upon delivery, or government restrictions.
Driver Requirements
All drivers must be at least 21 years of age and possess a valid, unexpired domestic driver's license held for a minimum of two years. International renters must present a valid International Driving Permit (IDP) alongside their original national license and passport.
Security Deposit
A security deposit hold will be placed on the renter's credit card or cash, whichever is convenient to the lessor, at the time of pick-up. This deposit is fully refundable upon returning the vehicle in its original condition, subject to deduction for traffic violations, damages, or missing parts or fuel.
Fuel Policy
Vehicles are provided with a full tank of fuel and must be returned with a full tank. If the vehicle is returned with a lower fuel level, a refueling service charge plus the cost of the missing fuel will apply.
Usage Restrictions
Vehicles must be operated strictly on paved, public roads. Off-roading, racing, towing, commercial ride-sharing, or transporting illegal materials and substances is strictly prohibited. The renter must fully adhere to all pre-established operational boundaries.
Accidents and Damage
Failure to provide a police report may void insurance coverage and make the renter fully liable.
Chauffeur Logistics
Where requested, the rental service shall provide a licensed, professional chauffeur. The driver shall maintain absolute discretion regarding vehicle operation, including speed limits, route selection, and overall safety compliance under applicable local laws.
Hours of Service & Overtime
The standard daily rental limit is 8 to 10 hours of service. Any service exceeding this limit will incur pre-disclosed hourly overtime charges. The driver must be granted mandatory rest breaks in accordance with labor safety laws.
Out-of-Station Accommodations
For single or multi-day trips outside Addis Ababa, the renter is responsible for providing or funding the driver's standard overnight accommodation and meals, unless explicitly excluded in the booking package.
Passenger Conduct & Vehicle Capacity
The total number of passengers must not exceed the vehicle's legal seating capacity. Smoking, the use of illegal substances, and aggressive behavior toward the driver are strictly prohibited. The renter shall be financially liable for any physical damage sustained by the vehicle's interior.
Route Planning & Terrain Boundaries
The driver will plan routes based on safety and traffic efficiency. The driver reserves the right to refuse to operate the vehicle on dangerous terrain, unpaved roads, or flooded areas that pose a threat to passenger safety or vehicle integrity, depending on the vehicle type.
This segment details additional conditions specifically governing pre-packaged tours, excursions, and custom travel itineraries handled by our company.
Scope of Tour Services
Guided tour services include vehicle transit driven exclusively by a professional company chauffeur, alongside scheduled itinerary management and designated entry coordination. Client operations are subject to all driver safety, operational limits, and cabin integrity constraints detailed explicitly in Part C of this agreement.
Prohibition of Self-Drive Operation on Tours
Under no circumstances is a tour client permitted to control or drive a tour vehicle assigned by our company. The vehicle remains under the exclusive control of the corporate chauffeur. Any unauthorized attempt to operate the vehicle will result in the immediate cancellation of the tour without a refund, and full forfeiture of all payments.
External Components (Third-Party Facilities)
While the company arranges hotel coordinates, park permissions, and local guide connections as a courtesy inside the package, the company acts solely as an intermediary for these sub-vendors. The company is released from liability for operational errors, service quality drops, or scheduling adjustments caused natively by these third-party operators.
Client Timing Obligations
Tour clients must adhere strictly to agreed assembly deadlines and scheduled departure times provided by the driver or guide. Delays caused directly by client tardiness that disrupt subsequent tour checkpoints or accommodation checks will not be eligible for refunds or extensions. However, if the client submits an extension request, it can be arranged for an additional fee.
